Okay, we need some advice:
We have to hire a vendor to rent the stage, lighting, and sound, and to run all of this for us (we're very new and our trying to earn enough to get our own equipment). What do we need to get from the vendor in terms of insurance coverage? Does anyone deal with this in their company and are there any waivers we should have them sign? What are we responsible for in terms of the vendor's equipment and employees? Thanks so much! |

I think you will find your responsible for the equipment in your care & physical control. Here this comes under our public liability & contents insurance, Which needs to be covered for fire, theft & damage.
You will find that the hire company will spell this out in their hire agreement, usually in fine details that no one reads, yet readily agree too.
Here all electrical equipment hired has to conform to electrical health & safety acts, such as be Portable Appliance Tested [PAT] & tagged as such. Also safety chains [cables] are to be attached, when rigging lighting & sound equipment.
As the operator of the equipment 'Duty of care' liability falls on you shoulders, not the hirer of the equipment. Say for instance a light or colour frame falls on a cast member or punter, even if it could be proved the equipment was at fault, your theatre group is still vicariously liable &/or may be adjoined to any action of claim.
Read the hire agreement carefully & find out what the hire company are responsible for, but from experiance, that is usually 'Sweet Fanny Adams'.

The vendor you hire typically will provide you with a certificate of insurance naming your group as an additional insured. Your groups General Liability insurance provides coverage as well. More questions, or if you would like us to review vendor certificates let us know.
